Preserve the current customer and load source

A forwarded email, screenshot, spreadsheet row, or repost is not enough to establish who controls a load or whether its facts remain current. Keep the authorized source and every change attached to the working record.

Customer authority and scope

Record the contracting customer, authorized contact path, broker role, load reference, date and time received, permitted actions, restrictions, and who can approve commercial or operating changes.

Current availability

Reconfirm that the freight is still available before carrier outreach and again before tender. Preserve cancellation, duplicate-posting, exclusivity, and competing-coverage context rather than implying control you do not have.

Original commercial facts

Keep the customer charge, payment terms, credit decision, accessorial terms, service requirements, and source evidence intact. Record changes as new events instead of overwriting the original.

Unknowns stay open

Missing source, authorization, facility, commodity, equipment, schedule, handling, payment, or contact facts remain exceptions. Do not fill them with a typical lane or customer assumption.

Build a carrier-usable load brief

A carrier can evaluate only the facts it receives. Translate the customer request into a structured brief while preserving the original wording and unresolved questions.

Locations and schedule

Record exact origin, destination, intermediate stops, time zones, appointment or window type, facility hours, contact process, lead time, and known detention or layover exposure.

Commodity and equipment

Record commodity, value or sensitivity when authorized, packaging, piece count, weight, dimensions, temperature or handling needs, equipment type, trailer details, and every stated exclusion.

Loading and delivery work

Confirm driver assist, loading method, lumper, washout, pallet exchange, securement, tarping, seals, count, photos, tracking, documents, access constraints, and exception contacts.

One controlled handoff

Use one current brief or controlled operating record. Mark versions, owners, open questions, and timestamps so a carrier is not quoted from one version and dispatched from another.

Review the brokerage role and transaction record

The toolkit organizes general property-broker operations. It does not determine registration, legal scope, disclosure duties, contract terms, or whether household-goods-specific rules apply.

Broker identity

Use the brokerage's registered identity and clearly represent the broker role. Keep carrier, customer, agent, affiliated-company, and third-party identities distinct in communications and records.

Transaction record

Prepare the record needed for the transaction, including the consignor, originating carrier and registration number, shipment document reference, broker compensation or non-brokerage service context, freight charges, and payment date as applicable.

Retention and access

Apply the current retention, review-access, privacy, security, and litigation-hold requirements to your records. Do not treat a downloadable brief as the brokerage's complete system of record.

Professional review boundary

Use current law, contracts, customer rules, carrier agreements, insurer guidance, and qualified counsel for the operation. A checklist cannot establish legal compliance.

Verify carrier identity through current official records

Submitted packets, certificates, search results, emails, and phone numbers can be incomplete, stale, or manipulated. Use current official records and independently confirmed contact paths as separate review steps.

Match the business identity

Compare legal and DBA names, USDOT and docket numbers, address, known contacts, equipment context, and the entity named on the packet, insurance, agreement, rate confirmation, invoice, and payment instructions.

Use official authority records

Search current FMCSA registration records in Motus, including activity after the May 2026 transition, and use SAFER Company Snapshot for public identity, operating-authority-status, and safety-related context. Treat legacy Licensing & Insurance records as historical for newer Motus activity and do not rely on a paper certificate alone.

Independently confirm contact

When contact information conflicts, stop and use an authoritative or previously verified number or path. Do not trust search results, caller ID, a forwarded signature block, or submitted documents alone.

Review insurance and packet controls

Apply the brokerage's current insurance, packet, contract, customer, safety, performance, sanctions, payment, and risk requirements. Escalate discrepancies instead of forcing a pass.

Compare economics and preserve written terms

A positive gross margin is only one input. It does not establish service fit, carrier approval, credit quality, total cost, claim exposure, or whether a load should be booked.

Gross transaction comparison

Compare customer charge minus carrier pay and direct transaction costs. Keep overhead, bad debt, claims, insurance, technology, payroll, taxes, financing, and other business costs outside the simplified figure unless your accounting method allocates them explicitly.

Carrier-pay context

Use loaded miles only for the displayed carrier-pay-per-loaded-mile shorthand. Review deadhead, time, stops, handling, market, equipment, reload, accessorial, and carrier-specific factors separately.

Written rate and service terms

Preserve rate confirmation, pickup and delivery terms, commodity and equipment facts, accessorial process, tracking, documents, claim or exception contacts, payment terms, cancellation, and every accepted change.

Carrier acceptance

Record who accepted, for which legal entity and equipment, through what authorized channel, at what time, and against which version. A sent rate confirmation is not the same as confirmed acceptance.

Control pickup, exceptions, payment, and closeout

Identity and transaction risk can change after the initial review. Recheck critical facts at handoff and preserve the chain from pickup through payment.

Pickup identity handoff

Confirm the expected carrier, driver, tractor and trailer when appropriate, facility instructions, pickup number, and stop conditions. Resolve unexplained substitutions, contact changes, document changes, or facility discrepancies before release.

In-transit exceptions

Define who owns missed appointments, rejected freight, damage, shortages, temperature, seals, tracking loss, breakdowns, accidents, redelivery, storage, reconsignment, and unauthorized changes.

Document and payment chain

Preserve rate confirmation, shipment references, pickup and delivery evidence, accessorial support, invoices, notices, payment instructions, changes, approvals, disputes, and payment dates in the controlled transaction record.

Closeout and learning

Compare planned and actual service, costs, accessorial recovery, documents, exceptions, carrier performance, customer outcome, fraud signals, and margin. Feed corrections into the next intake without rewriting the completed record.
