Gate 1
Define the operating decision before the trial
A load board cannot be evaluated against every possible use. Define the exact operation, people, freight, decisions, and deal-breakers first so attractive but irrelevant features do not win the comparison.
Named operating use
State whether the trial supports an owner-operator, carrier, dispatcher, fleet, broker, or another authorized workflow. Record who searches, who sees contact information, and who may negotiate or approve.
Equipment and markets
List the actual equipment, starting markets, destination preferences, pickup radius, date horizon, operating days, and any commodity or appointment constraints that determine usable freight.
Required actions
Identify the tasks the service must support: live search, saved search, alerts, rate and mileage context, source detail, team notes, documents, exports, integrations, mobile use, or dispatch handoff.
Stop conditions
Write the conditions that end the trial: unusable coverage, unclear source or booking rights, missing carrier controls, unexpected charges, weak cancellation terms, unacceptable security, or unresolved identity risk.

Measure usable freight coverage
A large headline count does not establish useful supply for one truck or team. Run controlled searches with the same inputs and preserve the time, filters, result count, and usable opportunities.
Repeatable search sample
Use the same equipment, origin, destination or radius, pickup dates, and time windows at multiple useful times. Record both total results and the smaller number that fit the actual operation.
Freshness and availability
Recheck a bounded sample to see whether removed, covered, changed, or expired freight disappears promptly. Record the observation time rather than treating any posting as guaranteed available.
Duplicates and completeness
Count obvious duplicates and missing rate, location, date, equipment, weight, commodity, contact, source, or identifier fields. Do not let duplicate volume inflate usable coverage.
Source and access
Record whose freight is displayed, how the account is authorized to see it, when contact details become available, which actions remain inside the provider, and any caching, reuse, or redistribution limits.

Capture the complete commercial terms
Compare the price the operation would actually pay, not only the advertised entry price. Save the current offer and the accepted version before starting a paid or payment-card trial.
All-in cost
Record subscription, seat, contact, transaction, setup, integration, add-on, data, device, support, and overage charges plus any material search, alert, export, or team limits.
Trial boundary
Record what is included, whether payment information is required, the exact end date and time, what becomes unavailable, when charges begin, and which price applies after the trial.
Renewal and price changes
Record billing cadence, automatic renewal, renewal notice, promotional expiration, price-change process, plan changes, taxes, and any minimum commitment.
Cancellation, refund, and export
Test the cancellation route before the deadline. Save confirmation, refund limits, final access date, data-export options, retention terms, and what must be removed from team workflows.

Test the real search-to-decision workflow
A trial should reproduce the work without contacting a broker, negotiating, or booking outside the carrier's authority. Use realistic but non-sensitive trial data and preserve failures as evidence.
Roles and carrier control
Confirm unique users, dispatcher and driver roles, carrier permissions, rate and lane limits, contact authority, final approval, revocation, and a clear stop when authorization is missing or changes.
Search and alert handoff
Test saved searches, alerts, notes, candidate comparison, assignment, acknowledgement, mobile use, time zones, duplicate prevention, and what happens when a posting changes or disappears.
Documents and integrations
Test the minimum needed export, API, ELD, TMS, accounting, document, or notification handoff without sharing production credentials or assuming an integration is live from a logo.
Recovery and support
Record response routes and expected handling for login loss, data mismatch, unavailable freight, billing disputes, security events, changed permissions, export requests, and cancellation.

Review identity, fraud, and account security
A load board does not replace current company, authority, contact, insurance, or transaction review. Evaluate whether the workflow preserves authoritative sources and makes mismatches easier to stop.
Independent company checks
Preserve source identity and compare legal names, USDOT or docket identifiers, official records, domains, phones, and changed instructions using independently obtained information before sensitive actions.
Fraud stop conditions
Test how the workflow handles mismatched company or contact details, rushed off-platform instructions, credential requests, identity changes, pickup substitutions, and payment or remittance changes.
Account protection
Review MFA, unique accounts, password and credential handling, role scope, administrative access, session controls, login alerts, access removal, audit history, and security reporting.
Data boundaries
Review what account, search, location, contact, document, customer, carrier, and usage data is collected; why it is needed; who can access it; how it is retained; and how an authorized user can export or delete it.

Make and revisit the buyer decision
Preserve the trial record, then let the authorized carrier or buyer decide. A high checklist score means the review is complete; it does not prove that one provider is best or guarantee freight or business results.
Compare with the baseline
Compare usable opportunities, time to a qualified candidate, stale or duplicate exposure, workflow steps, missed alerts, manual rework, support incidents, and total cost with the current process.
Separate facts from preferences
Keep observed results, written terms, and verified controls separate from interface preference, salesperson statements, online reviews, and assumptions that were not tested.
Record the decision
Record keep, replace, extend, or cancel; decision owner; date; unresolved conditions; approved users; carrier permissions; cost owner; cancellation deadline; and the evidence that supported the choice.
Schedule revalidation
Recheck freight fit, price, renewal, source access, user roles, security, support, exports, and business value before renewal or when equipment, markets, people, providers, or permissions change.
